Operating Council Positions
Roles and Responsibilities for the Volunteer Positions Utilized by the Club For Day-To-Day Operations

Secretary

  • Record the minutes of all Operations Council and Managers meetings (including meeting time, date, location, attendance, vote results, and highlights of key discussions)
  • Be the custodian of all official records, and forms of the EUSA (i.e. minutes, insurance documents, bylaws, etc.)
  • Collect and distribute accordingly all correspondence received by the EUSA
  • Team manager leader
  • Manage club communications to coaches and team managers 

Registrar

  • Manages registration process for teams (rosters) and players (passes) for USYSA (New York West) and US Club Soccer participation.
  • Manages registration process for officials, manages and coaches to receive Risk Management clearance and passes for USYSA (New York West) and US Club Soccer.
  • Maintains current commitment letters file for all eligible players.
  • Manages player registration payments.

Events Director

  • Works with club management and team coaches to provide facilities for training games and special events.
  • Main club contact for facilities acquisitions.
  • Coordinates training and game schedules.
  • Budget allocation and resolution for facilities.

Treasurer [Finance- Income]

  • Maintains database for all records and transactions of clubs’ accounts receivable.
  • Tracks and deposits all income that is received.
  • Manages database for individual players’ accounts payable

Treasurer [Finance- Payables]

  • Maintains database and check book for all records and transactions of clubs’ accounts payable.
  • Provides all corporate information for income tax preparation and audit
  • Manages payment of coaches travel reimbursements, tournament registration, uniform and equipments, facilities, etc.

Equipment Manager

  • Manages process to provide sizing, ordering and delivery of player and coaches uniforms and training equipment and apparel
  • Verifies the receivables with vendor billing
  • Manages excess inventory

Optional Sales Manager                                              

  • Manages process to provide sizing, ordering and delivery of fan wear and family apparel to promote the club.
  • Verifies the receivables with vendor billing
  • Manages excess inventory

Director of College Relations

  • Information resource to aid players and families so that they appropriately manage their college recruitment initiatives.
  • Conducts seminars and workshops to inform families.
  • Ensure player profiles are created and posted.
  • Manages production of profile books for showcase distribution.

Web Master

  • Manages the architecture, design and maintenance of the web site

Technology Director

  • Looks for new electronic and web based tools to help manage the organization
  • Manages the architecture, set-up and maintenance of these tools

Public Relations Director

  • Engages in promoting or creating good will for players, groups or teams by writing or selecting favorable publicity material and releasing it through various communications media.

Sponsorship Manager

  • Liaison to families for assistance with information and ideas in helping them solicit sponsorships for individual players and teams.
  • Contact person for sponsors to provide corporate information and graphics
  • Insures all commitments of the club to the sponsor are honored
